Templates for car salespeople

13 car sales email templates that get forwarded

Email is where the recap lives and what gets forwarded to the spouse. Each one has a subject line, a short body, and one next step.

Texts move the conversation; emails hold the record. Use these when there is something worth putting in writing: the numbers, the recap of a visit, what happens next on financing, or a thank-you that deserves more than a line. Every payment line stays complete, and every message ends with one thing to do.

First response

The email that follows the first text. More room, same rule: one next step.

Web lead, first email

Right after your first text, so they have something to forward or come back to.

Visit recap

The evening of the visit.

Subject: Your visit today, and the [Year Make Model]

Hi [First name], Thanks for coming in today. Here's a quick recap so it's all in one place: - Vehicle: [Year Make Model], stock #[number] - What you liked: [feature, feature] - What you wanted to think about: [price / trade / timing] - Next step: [what you agreed to] I'll [do the thing] by [day]. If you'd like to see anything else in the meantime, reply here or text me at [phone]. [Your name] [Dealership]

A written recap is the thing that gets forwarded to the spouse. Make it accurate and short.

The numbers, in writing

When you said you'd send the figures.

Subject: [Year Make Model]: the numbers you asked for

Hi [First name], Here are the numbers on the [Year Make Model], stock #[number]: - Selling price: [amount] - Tax, title, and fees: [amount] - Trade allowance on your [trade]: [amount] - Out-the-door: [amount] [If a payment is included: Estimated payment of [amount] per month for [term] months at [APR]% APR with [down payment] down, on approved credit. This is an estimate, not an offer of credit.] If anything here doesn't match what you expected, tell me and I'll look at it again. [Your name] [Dealership]

Keep every payment line complete: term, rate, down payment, approved credit. A payment on its own is the thing regulators and buyers both hate.

Didn't buy yet

The seven-day and thirty-day emails. New information or nothing.

Seven days out

A week after the visit, if texts have gone quiet.

Subject: Still here if you need me, [First name]

Hi [First name], It's been about a week since you drove the [Year Make Model], so I wanted to check in once without being a pest. Two things that might help: - [A comparable vehicle] came in this week, [one line on why it fits] - I'm happy to put the numbers in writing again if anything has changed on your end If you've found something else, no hard feelings at all. Just let me know and I'll stop filling your inbox. [Your name] [Dealership] [Phone]

Thirty days out

A month after the visit, as the last planned email.

Subject: One last note from [Your name] at [Dealership]

Hi [First name], This is my last planned check-in. If the timing wasn't right on the [Year Make Model], that happens, and I'd still be glad to help when it is. My page stays current with what's in stock, and you can reach me from it any time: [your page link]. Thanks for giving me a shot. [Your name] [Dealership]

Trade-ins and financing

The two topics people would rather handle by email than across a desk.

Trade-in details request

They mentioned a trade and you want to appraise it ahead of the visit.

Subject: A number on your [Year Make Model] before you come in

Hi [First name], So you're not waiting around when you visit, I can get a real number on your [Year Make Model] ahead of time. I'd need: - Current mileage - A few photos (all four sides, the dash with the car on, any dings) - Whether there's a loan or lease on it, and with whom Easiest way is this link, which walks you through it from your phone: [trade-in link]. [Your name] [Dealership]

Financing next steps

They asked about financing and want to know what happens.

Subject: Financing on the [Year Make Model]: what happens next

Hi [First name], Here's how financing works on our end, so there are no surprises: 1. You fill out a short credit application, online or in the store. 2. Our finance team sends it to the lenders we work with. 3. We come back with the options, including the rate, the term, and the payment, in writing. You don't commit to anything by applying. If you'd like to get started, here's the secure link: [credit app link]. If you'd rather do it in person, I'll walk you through it. [Your name] [Dealership]

No promises about approval or rate. Describe the process, not the outcome.

The evening of delivery.

A few weeks after delivery.

Subject: If a friend starts car shopping

Thanks for being a customer of ours. [Your name] [Dealership]

Questions

What should the first email to a car sales lead say?
Confirm the car is available, offer two or three specific things you can send right away, and name the next step. Keep it under 120 words. The email backs up your first text; it is not a replacement for it.
Can I put a monthly payment in an email?
Yes, if the whole picture is there: the price, the term, the rate, the down payment, and that it is on approved credit and an estimate. A payment on its own, without those, is the quickest way to lose trust and to run afoul of advertising rules.
How long should a car sales follow-up email be?
Short enough to read on a phone without scrolling twice. Recaps and numbers can use a list. Everything else is three or four short paragraphs with one clear ask at the end.
Should these go out automatically?
The first reply, the review request, and the one-year check-in work well as scheduled steps. Recaps and numbers should be sent by hand, because they have to be right. Dealer Duo sequences send the scheduled ones and stop the moment the customer replies.
